This policy explains how OptiLocal AI, LLC ("OptiLocal", "we", "us"), a Delaware limited liability company, handles personal information when you visit optilocalai.com, contact us, or interact with an AI assistant we operate for one of our business customers. We aim to comply with applicable privacy laws, including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable U.S. state laws.
OptiLocal builds AI front-desk assistants for small local service businesses. The assistants answer customer messages and calls, answer questions using the business's own information (services, prices, hours), book appointments, and hand conversations to a human when needed. Our assistants always tell people they are an AI, not a human.
Only to provide and improve the service: replying to you, booking appointments, notifying the business owner, preparing documents you requested, supporting customers and keeping the service secure. We do not sell personal information and do not use it for third-party advertising.
Conversations are processed by large language models from third-party AI providers, accessed through OpenRouter. We also use hosting (Hostinger), messaging platforms you choose to use (for example Telegram), email, and payment processing when payments are enabled. These providers process data on our behalf and may store it outside your province or country, including in the United States.
We collect information with your consent, which you give when you submit a form or message an assistant. You can withdraw consent at any time; we will then stop processing your information except where the law requires us to keep it. Photos (if you order an AI headshot) are used only with separate consent and the source photos are deleted within 7 days after the order is completed.
Call recordings are retained for 30 days and then deleted. When a business customer cancels, their data and call recordings are deleted within 30 days after cancellation. We keep personal information only as long as needed for the purpose it was collected or as required by law, and we use reasonable safeguards (access controls, encrypted connections). No system is perfectly secure.
You can ask to access, correct or delete your personal information, or ask questions about this policy, by emailing alex@optilocalai.com. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or your local privacy regulator.
The service is not directed to children under 16, and we do not knowingly collect their information.
We may update this policy and will post the new version on this page with a new effective date.
